What is an invoice?
An invoice is a document sent to a client to request payment for goods or services delivered. It records what was provided, the agreed price, and the payment deadline. Sending a clear, professional invoice reduces payment delays and creates a paper trail for any billing dispute.
A standard invoice includes your business name and contact details, the client information, a unique invoice number, itemized services or products with quantities and rates, applicable taxes, and a total balance due. For USA clients, include your EIN. For UK businesses, add your VAT number. Canadian invoices show GST/HST.
Beyond the basics, a professional invoice sets clear expectations. Include payment terms — Net 15, Net 30, or Due on receipt — so the client knows exactly when to pay. Using the correct currency and local tax label (VAT for the UK, GST/HST for Canada, State Tax for the USA) avoids confusion and keeps your records accurate.
For example, if you bill $2,800 across three line items with a 5% discount and 10% tax, the balance due is $2,926. If the client already paid a $500 deposit, the final invoice shows $2,426 due — calculated automatically.

How to use this invoice generator
Choose your market. Click USA, UK, or Canada at the top. The tool sets the correct currency, date format, and tax label automatically.
Fill in your business details. Add your company name, address, and optionally upload your logo. It appears on both the live preview and the downloaded PDF.
Add your client. Enter the client name and address in the Bill To section.
Set invoice details. The invoice number and dates are pre-filled. Adjust them as needed and choose payment terms.
